Smart Invoicing is designed to analyze the events in your case and auto-generate invoices in draft status based on relevant contract items that match those events.
How Does It Work?
You'll create a Smart Invoicing contract and tell us if it is for a Direct Client or a Forwarder. When the contract is for a Direct Client, we will only associate it with the case based on the client entity. However, when you select a forwarder contract, we will consider both the client entity and the lienholder on the case. We'll only associate the contract with the case when the contracts meet the qualifying conditions.
Direct client contracts qualify the contract only on the client entity of the case. When the client on the case matches the client entity, the contract will link to the case.
Forwarder contracts qualify the contract for both the client entity and the lienholder on the case. When the client and lienholder match the contract, the contract will be linked to the case.

Clients on Smart Invoicing or Standard Contract Required
We do not allow service providers to create contracts for clients requiring contracts themselves. If your client is using Smart Invoicing, their contract will take precedence. The good news is that you benefit from automatic recovery invoice generation through Smart Invoicing client contracts. As soon as you mark a case recovered, your recovery invoice will auto-generate. If you have any approved fees, those will also be created with the recovery invoice.
If your client uses a standard invoicing contract and requires their contract, we again do not allow you to create a Smart Invoicing contract for them.
If you cannot select your client as a client entity for your Smart Invoicing contract, you'll know if your client has a required contract.
Invoice Auto-Generation
Smart Invoicing contracts link your fees to a Master Fee. Certain Master Fees are linked to case events, so when those events occur on the case, we will auto-generate an invoice with the rate you listed in the contract. We call these events Billable Events. Therefore, it's important you craft your contracts with the appropriate Master Fees so we auto-generate the invoices correctly.
Note: Keep in mind that if you create multiple line items with the same Master Fee, you could potentially auto-generate multiple invoices when the corresponding Billable Event occurs on the case.

Any fees not eligible for auto-generation can still be manually added to an invoice at any time. We will suggest the fee amount based on the Smart Invoicing contract. Whether the invoice is auto-generated or manually created, you can change the fee amounts while it is still in draft status. Once the invoice is submitted, you can no longer edit the invoice or the amounts.
The following table indicates which Billable Events are associated with which Master Fees.

Update Contracts and Invoices
You can update your Smart Invoicing contract as frequently as you want to. As soon as you make the contract effective, we will update your case with the qualifying contract.
Note: If you remove a lienholder from a Forwarder contract, your case will remain the same as the last version of the contract that contained the lienholder.
If you update the contract before the auto-generated invoice is submitted, we'll warn you if fee amounts on the latest version of the contract have changed since the invoice was drafted. You will have the option to accept the updated fee amount or decline it.
You can also make these changes from the Invoice Queue by selecting the invoice(s) you want to check for updates (checkboxes on the far left). Once you've selected at least one invoice, the option to Update Invoices will appear in the upper right corner.
Waiting to be Invoiced
When you create a fee request under Waiting to be Invoiced, we will not look at this fee to make updates, regardless of whether the contract amount has changed.
We assume that fees under Waiting to be Invoiced are agreed upon and, therefore, should not be updated, but you can always manually update as you see fit.
